This page explains what personal information I collect, why I collect it, and what I do with it. It applies to anyone who contacts me via this website, books a service with me, or appears in photographs or videos I capture in a professional capacity.

What I collect

When you contact me through this website, by email, by phone or by WhatsApp, I may collect: your name, email address, phone number, and the content of any message you send me, along with details about your event, school or production.

When you book a service, I'll also process: payment details (handled by my payment provider; I do not store card details on my own systems), invoice details, and event-specific information needed to deliver the work.

When I photograph or film an event, I capture images and video of attendees, performers and venues. Where children are involved (such as dance school shows), I work on the basis of consent provided by the school, parents or guardians.

When clients view delivered galleries through my Pic-Time storefront at galleries.kingsleyvisuals.co.uk, Pic-Time may collect basic technical information such as IP address and browser type. Pic-Time's own privacy policy applies in addition to this one.

Why I collect it, and the lawful basis

• To respond to your enquiry and provide a quote. Lawful basis: legitimate interest in running my business and replying to messages I've received.
• To deliver the photography or videography service you've booked. Lawful basis: performance of a contract.
• To deliver galleries and process print or digital orders. Lawful basis: performance of a contract.
• To send occasional updates about my work or new offerings, only if you've explicitly opted in. Lawful basis: consent. You can withdraw at any time.
• To meet legal obligations such as tax record keeping. Lawful basis: legal obligation.

Photographs and video of identifiable people

For private bookings (portraits, dancer portfolios), photographs are delivered to the client and are not used for promotional purposes without explicit permission.

For school and production bookings, the booking school or production company is responsible for obtaining the necessary consents from parents, guardians and performers before the shoot. I rely on the engaging organisation having those consents in place.

If you are an identifiable person in a photograph I have taken and you wish to be removed from any public-facing usage, contact me at hello@kingsleyvisuals.co.uk and I will action the request promptly.

Children's images

I take particular care with images of children. I will not publish images of children on my website, social media or any public-facing portfolio without explicit prior permission from a parent or guardian. School galleries are delivered as private, password-protected galleries.

Who I share data with

• Pic-Time — gallery hosting and sales: client galleries, names and email addresses for gallery delivery.
• Namecheap Private Email — inbound and outbound emails associated with bookings.
• My payment provider — payment processing.
• Cloudflare — serves this website and may log standard server-level access data.
• My accountant — invoice and financial record information for tax purposes.

I do not sell personal data and do not share it with anyone else without your knowledge.

International transfers

Some of my service providers are based outside the UK, including in the United States. Where data is transferred internationally, I rely on the appropriate safeguards required by UK GDPR, such as the UK International Data Transfer Agreement or Standard Contractual Clauses.

How long I keep data

• Enquiry messages that don't lead to a booking: up to 12 months.
• Active client records: for the duration of the project plus 7 years for tax and legal purposes.
• Image archives: original RAW files are kept for up to 12 months following delivery; final edited files are kept indefinitely unless you request deletion.

Your rights

Under UK GDPR, you have the right to:

• Request access to the personal data I hold about you.
• Request correction of inaccurate data.
• Request deletion of your data, subject to my legal record-keeping obligations.
• Object to processing based on legitimate interest.
• Withdraw consent for any consent-based processing at any time.

Cookies

This website itself does not set tracking cookies. The Pic-Time gallery storefront at galleries.kingsleyvisuals.co.uk uses cookies as described in their own privacy policy.

Complaints

If you're unhappy with how I've handled your personal data, I'd appreciate the chance to put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
